Students, families and visitors

Plan your Williams College travel

A good campus trip starts with the right arrival date, a clear pickup plan and enough space for your luggage. Use this guide to prepare a ride request for Albany (ALB), Bradley (BDL), Boston Logan (BOS) or a local address. You can send separate passenger and booking contacts when a parent is arranging travel for a student.

College dates were checked against official Williams sources on October 13, 2026. Schedules can change; confirm your student's exam schedule, housing permission and event plans before booking travel.

Parents, families and visiting friends

Friends & Family Weekend

Arrange the airport leg and the local part of your visit together. Include your lodging address, the number of travelers and the times you need to reach campus. If you are staying outside Williamstown, give the full address rather than only the hotel name. For a round trip, send both flights and your preferred return pickup time so each leg can be reviewed.

  • Arrival and departure flight details
  • Hotel or inn address
  • Passenger count and luggage
  • Any campus or dinner stops

Thanksgiving break travel

Start with the student's actual departure plans, then work back from the airline's check-in guidance. Share the flight number, departure airport, campus pickup location and whether checked bags are involved. Request the return ride at the same time, even if the arrival details are still being finalized. Tell us when the passenger and the person paying or coordinating are different people.

Students leaving after exams or returning for Winter Study

December departures and Winter Study return

Your final exam time determines when you can leave; the end of classes alone does not. Confirm exam commitments and your housing deadline before purchasing flights. For the January return, coordinate the campus arrival with the student's permitted housing access. Mention large suitcases, boxes or additional stops in the request so vehicle suitability and the route can be discussed.

Students returning for the spring term

Spring semester arrivals

Use the student's housing permission when choosing an arrival flight. Provide the destination residence or street address, a reachable passenger phone number and the flight information. If a parent is submitting the request, include the student's contact separately so pickup messages reach the traveler.

Students traveling during spring break

Spring break airport travel

Plan both ends of the break: the ride from campus to your departure airport and the ride back after your return flight. Send each date, flight number and passenger count. If friends want to travel together, list the full group and everyone's luggage rather than assuming a shared vehicle will fit. We will review the request and confirm whether the planned trip can be accommodated.

End-of-term departures and move-out

A move-out trip can involve more than an ordinary airport transfer. Describe all luggage, boxes and storage stops, along with your exam schedule and housing deadline. Include the airport or final destination and the people traveling. Send these details before making assumptions about capacity; the vehicle and luggage arrangement will be confirmed with the quote.

Graduating students, family guests and alumni

Commencement and alumni reunion visits

Plan the airport transfer around the events you intend to attend and the address where you will stay. Send the full party size, luggage and all requested stops. A graduating student's move-out and a family's hotel-to-airport ride may need different pickup arrangements. Check the official event schedule before selecting a departure flight; ceremony times for 2027 have not been verified in this guide.

Move-in planning for the next academic year

Before arranging next year's arrival, check the official housing calendar for your student's group. First-year, returning, international, transfer and early-arrival students may have different permissions. We have not verified fall 2027 move-in dates, so they are not published here. Once your arrival window is confirmed, send your flight, passenger count, luggage and campus destination.
